Commission Reconciliation

Commission reconciliation in this industry is a tedious, labor-intensive problem. Our client’s employ teams of people specifically trained to manage this data intensive process. Typically, the process takes place on monthly basis when clients are paid by the carrier. Our clients were looking for a solution to perform this process in real-time, communicate issues to the field immediately, and reduce labor costs.

Challenge

Each month wireless carriers pay dealers their commission for the previous months sales and the discrepancy rate is roughly 1.5%, over a million dollars monthly at their volume. Dealers have a limited window of time to review the data provided from the wireless carrier, compare it to their sales data, and provide proof to the wireless carrier of payments missed or underpaid.

Each transaction can include ten or more data points to reconcile, and the data is sourced from up to four different reports. The amount of data is staggering, hundreds of thousands of rows, need to be cross referenced daily to find any transactions which do not match exactly.

Emerge built a platform which reconciles our customers point of sale data against the carriers data daily, including automated communication to and from the sales managers to resolve any discrepancies found with hours instead of weeks.

The platform includes dashboards to track trends and provide daily ROI feedback. Since implementing the platform, on average clients have reduced their carrier payment error rate by 60% saving them well over a million dollars a year, while reducing labor costs, and increasing employee moral due to fewer commission charge backs.

Clients begin by uploading multiple, large, complex CSV files from their point of sale and the carrier’s reporting portal. The system then performs dozens of complex calculations and comparisons against thousands of data points highlighting discrepancies in the data. The process takes minutes to perform, which traditionally took a team of employees several days to complete.

The system then displays data by level of importance, including the dollar amount in question, color-coded by where it is at in the workflow, as well as all key data points needed. Multiple users can access the system, view and process data, as well as leave notes.

With such a large amount of data being reviewed daily, providing an efficient layout and workflow was extremely important.

Each individual line can be expanded to view more detailed information about the transactions. Users can add notes including templated responses, upload additional files, and adjust the transactions stage in the process flow. Certain actions automatically trigger notifications to other users in the system to ensure timely responses.

All actions and communications in the system are logged, including automated emails with are sent out on present increments if users have not followed with required actions in a given amount of time. This allows for management to quickly verify what was sent went and eliminate the “I didn’t know” response.

Custom report paraments as well as predesigned reporting templates allow for data to viewed in countless ways. All data from any screen or any reporting can instantly be downloaded in CSV format with one click at the bottom of each page.

Custom dashboards provide clients with the exact data they need to make decisions and track progress daily. Dashboard content varies by user level, ensuring all levels of management have the information they need, when they need it, right at their finger tips.
